Using Tokens with Annotations

In addition to using standard text in the content of your annotations, you can use tokens in text boxes, callout text, and sticky notes to provide information for yourself and other users. Tokens are placeholders for values that will be substituted later. For example, the Date token, %(date), is a placeholder for the current date, which is automatically inserted in the Date token's place once the document is saved.

To use tokens

  1. Make sure you have configured your settings to automatically substitute tokens when used in text annotations.

    Note: To modify this setting, from the Tools menu, select Options, and navigate to the General section under the View node of the Options dialog box. Under the Tokens section, select or clear the Substitute tokens in text annotations checkbox (this option will be selected by default).

  2. Open the document you want to add a text annotation to.
  3. Place a text box, callout text, or sticky note on the document and type in your text, using tokens where appropriate.
  4. Once you are done typing, click outside the text box.
  5. The token's value will be filled when you save the document.
