Records Management Entries

The Laserfiche Records Management file structure consists of: records series, record folders, and records. Each level of the hierarchy has a specific purpose in assisting with the overall management of records. Record series are the topmost level of organization, and they contain properties that define the records management rules that govern their child records (you can determine whether or not these rules should be propagated to that record series' children). Each record series can contain either record folder or records. Record folders offer a means of organizing records that have synonymous life cycles. Records management actions should be performed on the record folder levels, this way each record inside that record folder is affected without having to manage each record individually. Records are the individual documents that are housed inside the records management folder structure--these documents typically inherit the records management rules of their parent, however, they can be assigned record-specific rules instead.

Records management entries can also be marked as vital or permanent. This is done through the Record Series, Record Folder, or Record Properties dialog box, depending on the type of entry being modified. Vital records are considered pertinent to common functions of the organization and are subject to periodic review during their life cycle. Permanent records are retained by the organization indefinitely and cannot be destroyed (they can, however, be accessioned).
