Offline Forms

The Laserfiche app can automatically download copies of forms offline. This lets users view and fill out forms when they are not connected to cellular service or Wi-Fi.

Note: Forms version 10.2 is required for automatic download.

Example: Jake is on a business trip and needs to fill out his expense report form while he's on the road. His company has set up the Expense Report form to download automatically on each employee's app due to limited Wi-Fi connection when they travel. This allows Jake to access this form offline and fill in each expense with its corresponding receipt as his trip progresses without worrying about being connected to Wi-Fi. When he returns home, he can connect to Wi-Fi and his expense report will upload automatically.

Note: You must be connected to a Laserfiche Forms server version 10.1 or later to save copies of forms offline. If you are connected to a Laserfiche Forms server version 10.2 or later, an administrator must select the Save form offline on the Laserfiche app device option in Laserfiche Forms to allow forms to be saved offline.

Note: Saving copies of forms offline does not remove them from your Forms server.
To save a form offline

All forms that are configured in Laserfiche Forms to be saved offline will automatically download to your mobile device when you sign in to the Laserfiche Forms server. Every time you sign into a Forms server, the app will automatically download any changes that were made to any downloaded forms on your local device. The original offline copy will be outdated. If you need to manually save a new copy of the form, follow the steps below.

  1. Press My Tasks in the Forms inbox in the menu on the left. The menu is accessed by swiping right on the navigation bar at the top of the app on a touchscreen device. Alternately, press the back button Back buttonuntil you see the menu button Menu buttonin the top left. Then, press the Plus button to access the forms. You can also press Start Process from the Forms inbox to access the forms.
  2. Swipe left or right on (or right-click if using a mouse) the form you want to save offline. To select multiple forms, press Select in the app bar, then select the checkbox next to each one. You can search for a form by pressing the search button in the top right .
  3. In the app bar at the bottom, press Save Offline Copy.

Note: If you select a forms process under Start Process that does not require a form submission to start, the Save Offline Copy option will be hidden.

Note: If an offline form is outdated (i.e., its online form was deleted), you will have the option to keep or remove the outdated offline form under Settings.

To access and fill out offline forms
  1. Press Start Process under Offline Copies in the menu on the left. The menu is accessed by swiping right on the navigation bar at the top of the app on a touchscreen device. Alternately, press the back button Back buttonuntil you see the menu button Menu buttonin the top left. Press the Plus button to access the offline forms.
  2. The offline forms will be listed by Forms server. Press the desired form, fill it out, and press Save to save it as a draft, or Submit to send it to the Outbox in preparation for upload. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Forms server via the app, the submitted forms will be uploaded automatically.
  3. If a form field has been configured to accept barcode scans in Laserfiche Forms, you will see a barcode button to the right of the field. Press the barcode button, scan the barcode, and the field will be automatically populated with the barcode value. A lookup rule configured on a barcode field will run when the value is populated and automatically fill in the fields associated with that lookup rule.

    Aztec, Code 128, Code 39, Code 93, EAN13, EAN8, PDF417, QR, UPC-E

    Example: Amy travels to Colorado for a business conference. She needs to keep track of all expenses incurred while on the trip. Instead of waiting until she gets home to fill out her expense report, she decides to fill it out at the end of each day throughout the trip. Her company has set up the Expense Report form to download automatically on each employee's app due to limited Wi-Fi connection when they travel. After her first day, she enters all her expenses and presses Save to save the form as a draft. She continues to do this each day of her trip. When she gets home, she looks over all the expenses and presses Submit to complete the form and send it to the outbox. Once she is connected to reliable Internet (or cellular data), and signs in to the Forms server via the Laserfiche app, the expense report will automatically be uploaded.

    Note: Field validation will only occur when submitting a form, not when saving it as a draft. For example, a form with empty required fields can be saved successfully as a draft, but the required fields have to be populated before the form can be submitted to the queue.

    Note: If Upload using Wi-Fi is turned on, offline forms in the upload queue will not be uploaded using cellular data. They will only be uploaded if the device is connected to a Wi-Fi network.

  4. If the form has a field that has been configured as a lookup field, the lookup table for that field will be downloaded and available when the form is saved offline. Pressing in the field will display the available values. Selecting or typing a value will auto-populate the appropriate form fields.

  5. Note: Offline lookup tables are updated each time the app signs in to the appropriate Forms server. To manually update the table, swipe left or right on (or right-click if using a mouse) the task and select Update related lookup tables. Unused offline table data can be managed under Settings.

  6. Close the form by pressing the X at the top, or press Fill out this form again to fill this form out again.

    Note: You can also access offline forms by pressing the Offline mode button on the Laserfiche app Sign-in page.

To lock an offline form

Once an offline form is open, it can be locked so users filling it out will not be able to navigate to any other form. For example, if you are at a conference and you want a user to fill out a specific survey form, you can open the form, lock it, then let him fill it out. When finished, he will only be able to fill out that specific form again. He will not be able to close the form or navigate to any other form.

  1. Follow the instructions above to access an offline form.
  2. Once open, press the open lock button Lock offline form in the top right.
  3. Enter a four-digit passcode. Re-enter the four-digit passcode for confirmation. The passcode configured under Settings is the same passcode used to lock and unlock offline forms.
  4. The lock icon at the top right will change to a closed lock Unlock offline form and the form will be locked.
  5. To unlock the form, click the closed lock icon at the top right and enter the passcode.
To view and submit offline form drafts
  1. Press Tasks under Offline Copies from the menu on the left. The menu is accessed by swiping right on the navigation bar at the top of the app on a touchscreen device. Alternately, press the back button Back buttonuntil you see the menu button Menu buttonin the top left.
  2. Press Drafts to access the offline forms that have been saved as drafts. Tasks that have been saved as drafts will have the word "Drafts" next to them. The other items listed are offline form drafts.
  3. Press the Sort button to sort the submissions by their server or when they were last modified.
  4. Press a draft to view it or finish filling it out. Press the appropriate button to submit the finished form. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Laserfiche Forms server via the app, the submitted forms will be uploaded automatically.

    Note: Offline lookup tables are available when completing form drafts.

To view offline form submissions
  1. Press Tasks under Offline Copies from the menu on the left. The menu is accessed by swiping right on the navigation bar at the top of the app on a touchscreen device. Alternately, press the back button Back buttonuntil you see the menu button Menu buttonin the top left.
  2. Press Outbox to access the offline forms waiting for submission.
  3. Press the Sort button to sort the submissions by their server or when they were last modified.
  4. Press a submission to view it. Once you connect the device to Wi-Fi or cellular data, and re-sign into the Forms server via the app, the submitted forms will be uploaded automatically.

Note: If a form submission fails, a new offline copy will be automatically downloaded when the app connects to the Forms server. The original offline form will be outdated and cannot be opened, but the submission that failed can still be opened and viewed.

Note: If an offline lookup table's online version changes, the values in the offline table will be submitted, not the updated online values. The app will not automatically update the offline lookup table's values.

Note: Certain JavaScript in an offline form draft submission will not work. See KB 1013847 for more information.

To remove an offline form submission
  1. Follow the instructions above to view the offline form submissions
  2. Select the checkbox(es) next to the submissions you want to remove.
  3. Press Select in the app bar at the bottom right. Then select the checkbox(es) next to the submissions you want to remove.
  4. In the app bar at the bottom, press Discard. Alternatively, right click the selection(s) and press Discard.
To upload an offline form submission

Forms that have been submitted to the upload queue will be listed under Outbox, and automatically uploaded once the device is connected to the Laserfiche Forms server via the app. If there are any upload issues, you can upload the form submission manually.

  1. Follow the instructions above to view the offline form submissions.
  2. Select the checkbox(es) next to the submissions you want to upload.
  3. Press Select in the app bar at the bottom right. Then select the checkbox(es) next to the submissions you want to remove.
  4. In the app bar at the bottom, press Discard. Alternatively, right click the selection(s) and press Discard.

Note: You will only be able to upload a form to the Laserfiche Forms Server it was saved offline from.

Note: Some modifications to online forms that have previously been saved offline will cause the offline form submission to fail when the app connects to the Forms server. For example, if a field in the online form is removed, or the online form is completely erased, the offline form submission will fail. A new offline copy will be automatically downloaded when the app connects to the Forms server. The original offline form will be outdated and cannot be opened, but the submission that failed can still be opened and viewed. However, in some cases, the modification to the form does not affect the offline form submission. For example, if the online form's theme is changed, the offline form submission will submit successfully when the app connects to the Forms server.

To remove an offline form
  1. Press Start Process under Offline Copies in the menu on the left. The menu is accessed by swiping right on the navigation bar at the top of the app on a touchscreen device. Alternately, press the back button Back buttonuntil you see the menu button Menu buttonin the top left. Press the Plus button to access the offline forms.
  2. Swipe left or right on (or right-click if using a mouse) the form you want to remove. To select multiple forms, press Select in the app bar, then select the checkbox next to each one.
  3. In the app bar at the bottom, press Remove Offline Copy.

Note: ReCAPTCHA cannot be used with offline forms.
