Electronic Documents Search

You can search for documents, in the Search Pane, based on whether or not they have an electronic file associated with them. This search allows you to optionally include criteria to specify what type of electronic file you are searching for, as will as specify a file size. You can also search for documents that do not have an electronic file associated with them.

Example: To search for a Microsoft Word file that is more than 50 MB, search for a "doc" or "docx" file extension and then specify a file size that is more than 50 MB.

To search for documents with electronic files

1. In the Search Pane, click Customize Search and select Electronic Files.
2. Select the an electronic file component radio button. Alternatively, you can search for documents that do not contain electronic files by selecting the no electronic file component radio button.
3. Optional: To search for documents with a particular type of electronic file, select the with one of the following extensions checkbox and select an extension from the list.

   Note: To select more than one type of extension, hold the CTRL button while selecting your extensions.

   Note: The list of available extensions is based on the types of electronic files currently in your repository. For example, if you do not have any PDF files in your repository, the .pdf extension will not appear on your list of extensions to search.

4. Optional: To search for documents with an electronic file with a particular size, select the with file size checkbox and configure the following:
   • Specify if you want to search for documents with electronic file sizes that are more than, less than, or exactly the value you enter.
   • Enter the file size you want to search.
   • Specify the unit in bytes (B), kilobytes (KB), or megabytes (MB).
5. Click Search.
